Pay:  $20 - $25/hour - based on experience

Schedule:  Monday - Thursday, 9am to 1:30pm

Benefits are not available for this role.  Official National holidays are observed.

Job Overview: 

Under the supervision of the Rector, the Parish Office Manager provides general office and administrative support to the rector, vestry, parish, staff, congregation, ministries and committees.  This work includes, but is not limited to: data and records management, some financial record keeping and accounting tasks, creation of weekly worship bulletins, phone and email support, supplies and inventory management, communications including email and the weekly newsletter of the parish, managing use of our church building including scheduling and payments, supporting church ministries and committees and oversight to an office volunteer staff.  The Parish Office Manager will be a key resource person for both members and non-members, and a welcoming, approachable and responsive presence in our parish office.

 

Requirements:

  • The ideal candidate will have small office management experience, including knowledge of basic accounting (payables, receivables, reporting).  St. James has a bookkeeper but this role is a key support role.

  • Candidates do NOT need to be Episcopalian, but do need to be comfortable working in a church setting. 

  • Web based computer program experience and technical knowledge sufficient to learn new web based and other computer programs required for the job.

  • The successful candidate will undergo a mandatory background check and Safe Church Training.  

 

Key Responsibilities:

  • Administrative support to the Rector

  • Oversight to a small office volunteer staff (different person each day)

  • Weekly worship bulletin and parish newsletter

  • Bookkeeping/Accounting tasks using Breeze, our church management program, in coordination with the Parish Bookkeeper.

  • Processing mail, inbound and outbound

  • Answer phones, voice mails and ensure followups with callers.

  • Ownership over the parish office email account

  • Placing supply orders and ensure supplies are available when needed and ordered within the confines of the budget

  • Special Projects including, but not limited to, support for church committees and ministries.

  • Learn and use our church management system, Breeze.

  • Oversight to all building use/rentals, including calendaring, accepting payments, arranging access and building walkthroughs

  • Executing all daily, weekly, monthly, quarterly, and annual tasks as assigned

  • Managing the parish calendars

 

Core Competencies:

  • The Parish Office Manager will be a key resource person for both members and non-members, and a welcoming, approachable and responsive presence in our parish office.

  • Business accounting/bookkeeping experience

  • Our small parish office is relatively fast paced requiring an individual to have a strong skill set in managing priorities and adhering to deadlines.

  • Dependability is key to this role.  Unexcused tardiness and/or absences may result in termination of employment.

  • Knowledge in the use of Google products (Google drive, docs, sheets, etc), legacy office software and programs (word processing, spreadsheets, etc) and the internet

  • Experience managing a website or website tools a plus

 

License/Certification:

Candidates are asked to share with the hiring manager/supervisor any pertinent licenses or certifications.
